Terms and Conditions

The terms and conditions stipulated below contain utmost important information pertaining to booking a trip. Hence, our clients are requested to scrutinize them thoroughly. Signing the form connotes the client’s adherence to the stipulations below and constitutes a legally binding contract between the client and Marron Treks.

Nepal Booking & Payments
Booking your trip with Marron Treks is very simple. After you select your tour/trip/adventure package, you need to duly fill out our Online Booking form and send to us for a booking to be processed, you must send us the following:

i) A copy of your passport (the passport should have a validity of at least 6 months from the date of entry to Nepal) and a copy of your passport sized photo at: info@marrontreks.com.

ii) A deposit (25% of the total cost). The payment can be made through the credit card payment online (VISA/Master Card; 4% levy will be added as a card processing fee) or the bank transfer (we will provide you our bank details). The remaining 75% of the amount ought to be paid after the client’s arrival in Nepal but before the trip departure. 

Nepal Cancellation @ Booking Agents
It is mandatory that the company receive the cancellation notice in writing, at least 20 days prior to the date of trip commencement.After the receipt of the cancellation notification with valid reasoning, the trip will then be termed as “Cancelled” and refund will be made after deducting a cancellation charge of 25% of the total cost, from the amount paid by the client.

Refund shall not be made under following circumstances:

A) If the company receives the cancellation notice in less than 20 days of the trip departure date.

B) If the client abandons the trip for any reason, voluntarily, involuntarily or commits any unlawful act before or during the trip.

C) If the client does not use the services (meals, accommodationsand others) during the trip mandated by the trip itineraries.

D) Should the client intend to make changes on the trip after it has been booked, s/he has tosubmit a request in writing, elucidating a decent reason. While every effort will be made to incorporate the client’s request, changes cannot be guaranteed.

E) If the client is prevented from pursuing the trip owing to some genuine/unavoidable circumstances like (but not limited to) death, serious illness, redundancy or jury service, the trip can be postponed or even transferred to another client, provided that the new client is willing and meets all the requirements pertaining to the particular trip. However, any such claim to either postpone or transfer the trip should be submitted at least two weeks before the trip commencement date and has to be authenticated by a proof. A fee of US$100 is chargeable under such circumstances. But there will be no option available if such notifications are received later than two weeks of trip commencement date.

Nepal Passport & Visas
All clients must possess a valid passport with at least 6 months validity from the date of entry to Nepal. Visas can be obtained from the Nepalese Consulate in your country or upon arrival in Kathmandu International Airport. The visa costs rely on the tenure of stay and are to be borne entirely by the clients themselves.

Bhutan & Tibet Booking & Payments
After you select your tour/trip/adventure package, you need to duly fill out the Booking form, which we will send. For a booking to be processed, you must send us the following:

i) A duly filled-out booking form at: info@marrontreks.com.

ii) A copy of your passport (the passport should have a validity of at least 6 months from the date of entry to Nepal) and a copy of your passport sized photo at: info@marrontreks.com.

iii) A deposit (50% of the total cost). The payment can be made through the credit card (VISA/Master Card; 4% levy will be added as a card processing fee) or the bank draft (we will provide you our bank details). The remaining 50% of the amount ought to be paid before your Bhutan or Tibet tour 30 days before tour’s departure.

Bhutan & Tibet Cancellation and Booking Changes
It is mandatory that the company receive the cancellation notice in writing, at least 30 days prior to the date of trip commencement. After the receipt of the cancellation notification with valid reasoning, the trip will then be termed as “Cancelled” and refund will be made after deducting a cancellation charge of 50% of the total cost, from the amount paid by the client.

Refund shall not be made under following circumstances:

A) If the company receives the cancellation notice in less than 30 days of the trip departure date.

B) If the client abandons the trip for any reason, voluntarily, involuntarily or commits any unlawful act before or during the trip.

C) If the client does not use the services (meals, accommodationsand others) during the trip mandated by the trip itineraries.

D) Should the client intend to make changes on the trip after it has been booked, s/he has tosubmit a request in writing, elucidating a decent reason. While every effort will be made to incorporate the client’s request, changes cannot be guaranteed.

F) If you are prevented from travelling on the tour, unfortunately there is no refund,

transfer or postponing options available as the Bhutanese government has strict tourism policies.

Bhutan & Tibet Passports and Visas
All clients must have a valid passport with at least 6 months validity from the return date. As you are unable to obtain visas to Bhutan & Tibet in your home country, you need to send your passport details to Marron Treks for visa applications, at least 45 days prior to the departure date.

Travel Insurance
Travel Insurance is mandatory for all clients under-taking any tour or trek in association with Marron Treks. One should make sure that the Travel Insurance provides adequate protection throughout the duration of the trip, covering illness, injury, death, medical expenses, repatriation expenses, helicopter rescue/emergency evacuation, air ambulance and compensation against the loss/theft/damage of baggage.

Health & Fitness
All our tour, trek & adventure trips require a generic fitness level. Hence, we recommend you to consult your travel doctor regarding your suitability for undertaking your desired trip. It is the responsibility of the clients to notify Marron Treks regarding their pre-existing medical conditions (if any), disability/mobility restrictions (if any), as such conditions might necessitate special medical attention and might even affect the clients’ ability to travel or pursue the trip if not addressed properly.

Children

Publicity
You possess no right to confront or protest against the use of your images by Marron Treks for its publicity or promotional campaigns in print or audio-visual medias. Marron Treks will not necessarily seek your permission or provide you a compensation for the use of your images for such promotional activities.

Changes to your Holiday and Pricing
Signing up for a trip with Marron Treks requires you to be flexible and modest, with an understanding that the specifics of your trip could change before or even after it’s commencement owing to it being circumvented by various unforeseen contingencies like adverse weather conditions, road blockades, landslides, political unrest and other natural calamities. Marron Treks shall endeavor it’s best to continue the trip with subtle or sharp changes in the travel plan wherever need be. However refund cannot be made on the above circumstances due to the payments made by the agency in advance to the service vendors/suppliers. We will do our best to offer you an alternative or substitute trip in same category wherever possible.

It is to be noted that Marron Treks is not liable for loss on employment, delays or compensation resulting from situations beyond our control. Our holidays, tour / trek packages are based on twin sharing accommodation. Thus, single room supplement charge will be imposed on the clients who do not have another tour participant to share their accommodation with.

Marron Treks reserves the right to shuffle the rates for it’s products and services owing to the changes on various external factors beyond our control. To cite an instance, a drop or a surge in the exchange rate, change of government policies, etc. could highly affect the costs of our products & services.

Privacy
Marron Treks adheres to a strict privacy policy and at any cost, does not disclose any personal information that you provide to the agency for booking or any other purpose.

Risk & Liabilities
Despite our utmost effort to provide tailor-made services with respect to our clients’ preferences, sometimes the changes on the set trip become inevitable due to various uncontrollable external factors like change in government rules & regulations, political adversity, natural calamities, health & fitness issues of the clients etc. In this light, Marron Treks and it’s associate agencies will not be accountable/responsible for the alterations in the actual course of the trip because of the above mentioned circumstances. Any extra cost incurred due to such unplanned interruptions ought to be borne by the clients themselves.
